Monthly Bookkeeping for Field Service Businesses

Your books handled every month in QuickBooks Online, so you always know where the business stands and year-end is just another month.

What Happens When Bookkeeping Waits

Most service business owners don’t neglect the books on purpose. Jobs get scheduled, trucks need repairs, a technician quits, and bookkeeping gets pushed to “this weekend.” Then the next one.

After a few months, the bank feed has hundreds of unreviewed transactions, nothing has been reconciled, and the P&L in QuickBooks is a guess.

The cost shows up later:

  • Decisions made on numbers that are wrong
  • Expenses missed, so profit looks better than it is
  • Customer payments recorded twice or not at all
  • Tax-time rush and CPA fees for sorting out the mess
  • No clear picture of which work actually makes money

What’s Included Each Month

Transaction Categorization

Every bank and credit card transaction is recorded to the right account: fuel, materials, subcontractors, vehicle costs, merchant fees, and so on. Not dumped into “Miscellaneous.”

Bank and Credit Card Reconciliation

Each account is reconciled to the statement every month. This is how errors, duplicates, and missing transactions get caught.

Financial Statements

A Profit & Loss and Balance Sheet delivered monthly, organized so an owner can read them.

Monthly Bookkeeping Review

Before reports go out, the books are reviewed for anything that looks off: unusual balances, uncategorized items, transactions that need a question answered.

QuickBooks Online

All work is done in your QuickBooks Online file. You and your CPA keep full access.

Year-End Records

Because the books are reconciled every month, year-end means sending your tax professional clean records, not starting a cleanup project in January.

Who This Fits

  • Owner-operated field service businesses
  • Companies with technicians, crews, or routes
  • Businesses on QuickBooks Online, or willing to move to it
  • Owners who want reliable numbers without doing the bookkeeping themselves

Pricing

Monthly bookkeeping starts at $350/month. The final price depends on transaction volume, number of accounts, complexity, and the current condition of the books.

If the books need cleanup before monthly service can start, that is quoted separately.

Questions About Monthly Bookkeeping

When do I get my reports?

After the month closes and all accounts are reconciled. Timing depends on when statements become available, but the goal is reports you can rely on, not reports that arrive fast and change later.

Do I need to send you receipts?

Bank and credit card feeds cover most transactions. I’ll ask for documentation when something needs clarifying or when your CPA is likely to need it.

What if I run payroll?

Payroll transactions are recorded correctly in the books, so wages, taxes, and employer costs land where they belong on the P&L. If you’d like to talk through how payroll is handled for your business, bring it up during the review.

Can my CPA access the books?

Yes. QuickBooks Online allows accountant access, so your tax professional can see the books directly.

Is there a contract?

Monthly bookkeeping is provided on a month-to-month basis. There is no long-term contract, although I ask for reasonable notice if you decide to cancel.
